Import items from Excel
Availability: The function has been available since eWay-CRM 10.0.
If you have company, contact, deal, or product data in a spreadsheet, you can bring it into eWay-CRM Online as new items instead of entering them one by one. Import from Excel is available for all modules, except Calendar, Emails, Bookkeeping and Users.
Start the Import
In the module list, click Import from Excel in the top part of the list, next to Export to Excel.

In Contacts, the same option is combined with other import sources under one Import button — click the arrow next to it and choose Import Contacts from Excel.

Prepare the Excel File
The import dialog walks you through the same four steps regardless of the module.

- Click Download Import Template to get a ready-made .xlsx file with the correct column headers for the module.
- Fill in your data in that file. Column names in your file must match the template exactly, so it's easiest to keep the downloaded file and just add rows to it rather than rebuilding the header row yourself.
- Make sure your data is in the first sheet, starts in cell A1 with the header row, and doesn't include extra columns you don't want imported.
- Save the file.
For Contacts, the dialog also includes the Automatically create companies checkbox. Select it if you want eWay-CRM Online to create and link a corresponding company based on the Company value for each contact.
The default state of this checkbox can also be controlled by the Create a new company when importing / synchronizing contacts from Outlook, Microsoft 365 or Excel setting. If this setting is enabled, the Automatically create companies checkbox is selected by default. However, users can always decide whether to leave the checkbox selected or clear it.

If the Excel file contains the Type and Status columns, Status can only be imported if the user importing the file is an administrator. Otherwise, the Status value is ignored.
Upload and Import
- Drag your .xlsx file onto the drop zone, or click click to upload and choose it from your computer.
- Click Import.
A progress bar shows each row as it's processed. You can click Continue in the Background and keep working in eWay-CRM Online while the import finishes.

Once it's done, the new items appear in the module's list like any other item. A column left out of your file entirely (rather than left empty) doesn't block the import — eWay-CRM Online falls back to a sensible default where it can, for example setting Owner to the user running the import.
If Something Goes Wrong
eWay-CRM Online checks each row independently, so a problem in one row doesn't necessarily block the rest.
If at least one row imports successfully, you'll still see a success message, followed by a line for each row that didn't make it, naming the row, the column, and why.

If every row fails — for example, if your file only has one row and it has a problem — you'll see Import failed instead, with the same kind of row/column detail.

Either way, fix the values the dialog points to in your spreadsheet — click Start Over if it's shown, or just click Import from Excel again to upload the corrected file.
